Basic and important concepts for implementation

1. Woffu structure

1.A Roles:

These are the different types of permissions an employee using Woffu can have. We have three basic roles:

  • User: Their main function on the platform is to record their time through clock-ins and requests for time off in lieu and vacation.
  • Manager: Their main function is to manage their team, their working time, and absence and presence permissions.

  • Administrator: They can configure the platform and manage its settings, and they also have full access to and visibility of all content and activity within the platform.

    Who needs to have permissions to configure Woffu?

*To achieve better visibility per user, we can combine permissions and create custom roles.

1.B Location:

These are the branches a company may have, allowing you to filter and group employees within the platform.

1.C Department:

These are groupings of users, which allows you to have better visibility within the platform.

How would you like to organize users on the platform to have greater control and visibility over their activities?

1.D Attributes:

Additional information fields that you can customize as you wish.

2. Presence concepts

2.A Schedules:

They define the total theoretical or effective hours to be worked, working days, and weekly rest. In Woffu there are several types of schedules:

  • Fixed: A schedule with a set start and end time. If applicable, you can indicate tolerance periods within the schedule.
For example: 9:00–15:00
  • Flexible: A schedule that does not indicate start and end times; it only reflects the total daily hours an employee must work.
  • Rotating shifts: Fixed schedules that define the possible schedule an employee may have on a specific day. Then, through planning, each employee can be assigned the schedule sequence they must follow. E.g., morning shift; afternoon shift; and night shift.

*To configure it, you must know the different employee schedules.

2.B Work schedule policy:

To accurately reflect your company’s reality, you have several options to manage the recording of overtime or additional clocked hours.

2.C Presence reasons:

A specific justification for an employee’s attendance at the company, such as remote work, client visits, travel, on-call duty, etc. It is used to differentiate between different types of presence beyond a simple clock-in.

3. Absence concepts

3.A Calendar:

They define the public holidays established by the BOE and are created using the postal code.

*It is important to know the postal codes that define users’ public holidays and the local holidays of each municipality.

3.B Vacation:

This refers to the annual balance, which is updated as requests are made and taken.

There are vacation types by:
  • Working days.
  • Calendar days.
To start using the platform, you must decide whether you want to:
  • Enter employees’ current vacation balance as of today.
  • Enter the total allocated to each employee at the start of the year and then enter all requests made from the start of the year up to now, in order to leave the balance updated for the activation date.

*Have the number of vacation days and the expiry date for each employee ready, if you wish to include it in the platform.

3.C Absences:

Paid leave established by the collective bargaining agreement.

*Be clear on the list of leave types employees may have available according to the BOE and internal work schedule policies.

3.D Ability to create allowance pools that enable employees to view their current available balance, including a custom balance indicating the amount available to request.
